Archive Officer (Fixed Term)

The Keep is the Military Museum of Devonshire and Dorset, holding the collections and archives of three regiments; The Devonshire Regiment, The Dorset Regiment and The Queen’s Own Dorset Yeomanry, plus those of predecessor units.The archive is housed in standard archive boxes on rolling racking in a store room. The store is adjacent to the Wood Library, which serves as a research base. Most research enquiries are dealt with by a team of volunteer researchers. The Modes Complete collections management system has been installed for eight years and currently holds over 78,000 records, around 50,000 of which are archive material. This represents an estimated 65% of the whole.

With funding provided by the Army Museums Ogilby Trust, this position has been created to catalogue and promote the First World War collections held within the Museum. This predominantly takes the form of diaries, correspondence, and photographs; with the ambition being to digitise this material and make it more widely accessible than it currently is. Additionally much of the archive work in the past 30 years has been done by non-specialist personnel and subsequently copied onto Modes. This now requires reviewing, updating, and bringing into line with professional standards

The Role

KMM is therefore seeking an Archive Officer to continue and correct the work done to date. The individual appointed should be a qualified archivist, preferably with military archive experience. They should have demonstrable understanding of ISAD(G), General Data Protection Regulations, and other archive related standards or regulations.

The principal responsibilities will be:

  • Breaking down bulk accessed material.
  • Reviewing material accessed and scanned to date to ensure that Modes references are correct and follow a consistent format.
  • Creating a hierarchical archive catalogue to reflect the collections and order material in a more effective manner.
  • Training and recruiting archive volunteers to assist with the above tasks.
  • Promoting the use of the KMM archive amongst external researchers, interest groups and the public.
  • Training existing archive users in good practice and supervising access to archive materials.

In addition to this, the successful candidate will be expected to play a full part in the life of the museum, including occasional Front of House work, exhibitions, assisting with visiting groups and other duties as required. Some weekend and evening working may be necessary, for which time off in lieu is given.

Working Hours: The normal working week is 0830-1700, Monday-Friday with a lunch break of one hour.

Salary: The salary offered will be between £22,000 - 25,000 per annum dependent on experience. An initial contract will be for two and a half years subject to a six month probationary period.
